Are you a highly organized and detail-oriented administrative professional with a keen eye for accuracy and a strong understanding of procurement processes? Anne Arundel County Government is seeking a dedicated Administrative Assistant to join our team. This pivotal role involves critical administrative and financial support functions essential to our operations.


About the Role:

The Administrative Assistant will play a vital role in ensuring the smooth and compliant execution of various administrative and procurement-related tasks. This position requires meticulous attention to detail, strong analytical skills, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities:

  • Process and track Public Information Act (PIA) requests, ensuring timely and accurate responses.
  • Review and maintain purchase order (PO) tracking sheets for accuracy and completeness.
  • Reconcile and review p-card (procurement card) transactions, ensuring adherence to county policies.
  • Process and track equipment orders from requisition to installation.
  • Review and verify invoices for accuracy against purchase orders and services rendered.
  • Conduct inventory of fixed assets and maintain accurate records.
  • Review purchase order requests (PORs) for compliance with procurement guidelines and budget availability.
  • Prepare and edit correspondence, reports, and other documents.
  • Maintain organized filing systems (both physical and electronic).
  • Provide general administrative support to the department as needed.


Qualifications:

  • High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred.
  • Minimum of 3 years of progressive administrative support experience with a focus on procurement, accounting, or financial administration, preferably in a government setting.
  • Proven experience handling and processing PIA requests.
  • Demonstrated experience with PO tracking, p-card reconciliation, and invoice review.
  • Experience with fixed asset inventory management is highly desirable.
  • Proficiency in Google Suite and financial management software.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Demonstrated ability to maintain confidentiality and exercise discretion.


Salary Range:

  • $20 - $28/hour


Other:

  • Familiarity with County and/or local government
  • Onsite in Annapolis, Maryland 4 days/week
